About this role

Property & Facilities Co-Ordinator

Operations · Nationwide · Full-Time · Permanent

Keep every Resilience location running the way it should.

At Resilience Healthcare, the places where people live and spend their days matter. Houses, day services, community hubs; they need to be safe, well-maintained, and right for the people using them. The Property & Facilities Co-Ordinator is the person who makes sure they are.

We are Ireland’s largest Irish-owned private disability services provider and the only B Corp certified disability provider in Ireland. Our 3x/10x ambition (to support three times the people with ten times the positive impact) means our portfolio keeps growing, and this role grows with it.

Why Join Resilience Healthcare?

Resilience Healthcare is the best disability organisation in Ireland to grow your career. We’ve grown consistently for over a decade and hold ourselves to the highest standard, because the people we support deserve nothing less.

Career · A broad, high-ownership co-ordination role with direct exposure to the Property Director, Finance, and Operations. Real responsibility across a growing national portfolio.

Impact · The locations you keep running are homes and day services for people with disabilities. The quality of these environments directly affects peoples lives.

Support · Clear structure, established supplier relationships, and a team that knows how to get things done.

We also offer: competitive salary (DOE), family healthcare, employer pension, life cover, paid maternity/adoptive leave.

The Role

Reporting to the Property Director, you’ll manage the day-to-day administration of Resilience Healthcare’s property portfolio and coordinate the outsourced facilities and maintenance contract across all locations nationally. You’re the link between the FM provider, internal teams, finance, and the Property Director, keeping maintenance on track, contracts in order, and the portfolio running smoothly.

You’ll also support conveyancing and property acquisition administration, and manage property insurance across the portfolio.

What You’ll Lead

  • Day-to-day management and performance monitoring of the outsourced facilities and maintenance contract across all Resilience locations
  • Logging, scheduling, and following up on reactive and planned maintenance across multiple sites, including fire safety, heating, emergency lighting, and equipment
  • Procurement of supplies and services, obtaining quotes, raising purchase orders, verifying contractor work completion, and authorising invoices
  • Contract database management, monitoring expirations and renewals across the supplier base
  • Property insurance administration, including notifying insurers of newly acquired properties, managing policy updates, and preparing claims for property damage
  • Conveyancing and property acquisition support, liaising with solicitors, auctioneers, and finance on legal requirements, utility transfers, LPT certification, and bank funding applications
  • Maintenance of property management systems, accurate records, and regular reporting to the Property Director and senior management
  • Supporting the Property Director on budget preparation, expenditure tracking, and variance analysis

What We’re Looking For

Someone organised, detail-driven, and comfortable managing multiple priorities across a busy national portfolio. You’ll deal with contractors, suppliers, solicitors, and internal teams daily, so clear communication and a proactive approach are essential.

  • Experience in property administration, facilities coordination, or a similar role
  • Strong organisational skills, able to track and manage multiple workstreams simultaneously
  • Comfortable with purchase orders, invoicing, budgets, and supplier management
  • Experience coordinating outsourced maintenance or FM contracts (desirable)
  • Good working knowledge of property processes including conveyancing support and insurance administration
  • Proficient in Microsoft Office, particularly Excel
  • Full driving licence and willingness to travel to sites nationally as required
